How it works
How to use TBA
For accountancy firms
Set up your firm and run your practice
From booking a plan to getting paid. The places named under each step are in your firm’s dashboard.
- 1
Choose a plan and book
Pick the plan that fits how many clients you look after and fill in your firm’s name, the Google account you’ll sign in with, your mobile and city. Pay online, or book now and pay when we contact you. Prefer to ask first? Write to us from the Contact page.
Pricing → Choose plan
- 2
We open your firm
We review your firm and open it — usually within one working day — and email you. Your plan period starts from that day. Sign in with Google using the same email you booked with, and you land in your firm’s dashboard.
Log in → I’m an accountant / CA / tax consultant
- 3
Set up your firm
Add the business details printed on your quotes and invoices, then your services and prices — the assistant can only ever quote from this list. Your join link and online-payment status are shown on the same page. To take payments online, connect your own Razorpay under Settings → Online payments — six short steps with every click explained, ending with a ₹1 payment to yourself to check it works, and a “Help me with this step” button if you get stuck.
Settings → Your firm · Services & Pricing
- 4
Bring your clients in
Share your join link on WhatsApp, email or your website. Clients who open it and sign in with Google become your clients automatically. You can also add a client’s email first, so their account links to the record you created, or ask us to list your firm in “Find your accountant”.
Settings → Your firm · Clients → Add client
- 5
Let the assistant work — and step in
The assistant greets each client, learns about their business, records what they need, asks for documents and raises quotes from your list. Anything it shouldn’t decide is handed to you and appears on your dashboard. Reply in the same thread whenever you like.
Messages · Dashboard
- 6
Review requirements and documents
Each client’s requirements are summarised for you. Uploaded documents are identified and checked; anything unclear is flagged for your review. The document analysis is for your team only — clients just see whether a file was received and accepted.
Requirements · Documents
- 7
Quote, sign, get paid
Send a quote built from a client’s requirements. When they sign, the work is created and an advance request goes out if you set one. Once the advance is paid, the work is released to your team; the balance is requested on completion. Invoices are generated for you.
Contracts · Engagements
- 8
Share out the work
Add the people on your team with their phone numbers and how many clients each can take. When work is released, the client is assigned to whoever has room and is told who to call. You can reassign any client. To let someone work in TBA, press Give dashboard login on their card: they sign in with Google using that email and can handle clients, messages, quotes and documents, while Settings and your plan stay yours.

Keep an eye on your plan
See clients and AI usage against your plan’s limits and renew (upgrading from here is coming soon — ask us to move you to a bigger plan meanwhile). You’re warned at 80% and when your plan is about to end. Need anything from us? Message TBA from the same page.

For clients
Work with your accountant online
Your accountancy firm uses TBA to run its client portal. Here’s how to get going — it takes about a minute.
- 1
Find your accountant
Open the join link your accountant sent you. No link? Search for their firm by name or city under “Find your accountant”.
Find your accountant
- 2
Continue with Google
Sign in with your Google account. Your portal and your chat with the firm are ready straight away — there are no forms to fill in.
Log in → I’m a client
- 3
Tell them what you need
Say what you’re looking for in the chat — for example “I need GST registration for my shop”. The assistant asks a few questions about your business and explains what happens next. If it needs a person, it tells you when to expect a reply.
Messages
- 4
Review and sign your quote
Your quote shows each service and its price from your accountant. Read it, then sign on screen. You can download the signed contract at any time.
Contracts
- 5
Pay securely
Pay in up to three parts — the first to start, the rest as the work moves ahead — by UPI, card or net banking. Payment goes directly to your accountant’s account through Razorpay, and you get an invoice for each payment.
Messages · Tasks → Pay now
- 6
Upload your documents
After the first payment, the chat lists the papers your accountant needs. Attach up to five photos or PDFs at a time in the chat, or use the Documents page. Each one is checked off the list.

Track your work
See every step — requirements, documents, quote, payments and work — and the name and number of the team member handling your case.

Common questions
Which Google account should I sign in with?
Firm owners: the email you booked your plan with — that is what makes you your firm’s admin. Clients: any Google account; use the same one each time so your chat and documents are always there.
Can my team members sign in?
People who only do visits and follow-ups don’t need a login — add them under Team with their phone number and clients are shared out to them. For anything else, contact TBA.
What happens when the assistant can’t help?
It tells the client that someone from the firm will reply, and the conversation is flagged on the firm’s dashboard. The firm replies in the same thread.
I joined the wrong firm. What now?
If you haven’t started any work yet, simply open the right firm’s join link. Once you have quotes, documents or messages with a firm, contact us and we’ll help sort it out.
Which files can I upload?
PDF, JPG and PNG — photos from your phone are fine. Up to five at a time in the chat.
Still stuck? Contact us.
